February 2008 Meeting

ACCO Meeting: February 6th, 2008
Attending Officers: Eric Meglasson, Jack Gassaway, Morgan Smith, David Boyd, Chris Hibbits, Aaron Calihan, Jeff Neal, Craig Ohlin.
Attending Members: Steve Wynne, Tyson Jumper.
New Members: Josh, Morgan Danford

Meeting begins at 6:30 pm.
E. Meglasson begins meeting with member introductions
After everyone has introduced themselves, E. Meglasson updates old business. A new accountant has been found and the 2007 books should be complete and filed with the I.R.S. soon. Review of current budget needed to determine rate change. New memberships must be encouraged to ensure that we meet our minimum required participant quota of 30 drivers per event.

E. Meglasson to D. Boyd: Should we discuss the budget?
D. Boyd: Let's wait for Jack to get here.
E. Meglasson: Is worker registration online feasible?
New Guy w/Tyson: Volunteers for Worker Coordinator position.
D. Boyd: Worker registration was handled through e-mail.
A. Calihan: Web forum would work well for worker registration.
J. Gassaway: We need an equipment transporter to drive the van to events.
D. Boyd: Is it possible to store the van at the fairgrounds?
E. Meglasson: Returns to online registration.
J. Gassaway: Axe-ware offers a pre-registration program.
S. Wynne: Suggests separate lists for Officers and Workers
E. Meglasson: Create registration threads in forums.
J. Gassaway: list setup and tear-down duties, diagram typical event setup.
C. Hibbits: Is the old van sold yet?
J. Gassaway: No.
New Couple: Is Friday night setup possible?
J. Gassaway: Theft issues, increased rental fees, event conflicts.
E. Meglasson: A. Calihan to start online registration.

M. Smith: Details upcoming events.
 Winter driving event scheduled for Feb. 28th at Mt. Bachelor. 8 am. to 1 pm., volunteers and instructors needed (5), Morning classroom session in the morning.
 ACCO invitational Karting and autocross event at Jackson County Sports Park near Medford, OR. on 5/31 to 6/1. Registration and Practice Saturday morning, afternoon karting event, 7 pm. dinner break, night autocross event. Sunday morning autocross event. Racing ends at 3 pm. Work as a team with a karting driver and combine times. Participation limited to 30 entrants and price is $75 each, all inclusive.

E. Meglasson: Brings up Drift Events for this season.
M. Smith: Has SCCA rules printed out before they mysteriously disappeared from the website.
E. Meglasson: Club to address additional insurance needs and verify SCCA rule set.
J. Gassaway: Working on Junior Karting program for younger drivers.
D. Boyd: Club insurance may not cover all SCCA sanctioned types of events.

E. Meglasson: Is there any new info on the Summer Show & Shine?
D. Boyd: States that spectator events will cost more money.
M. Smith: Suggests that we make everyone register as event participants to ensure insurance coverage.
A. Calihan: Details BENDubs' commitment to organize the event and proposes a date of Sat. June 21st.
D. Boyd: Motions to create a committee of ACCO members to work with BENDubs to work out logistics of Show & Shine.

E. Meglasson: Inquires about split schedule.
J. Gassaway: Split registration, Flip-flop classes, split worker shifts.
New Couple: A and B run groups in the morning, C and D run groups in the afternoon.
J. Gassaway: Timing will only take the first three runs.
E. Meglasson: We will need more workers, so hopefully the numbers will increase due to the split schedule.
M. Smith: Proposes that first event shall be run as-is.
S. Wynne: Fairness concerns, Best of 6 runs?
M. Smith: Suggests vote on session layout.
J. Gassaway: Use first two practices and events to test session layout and modify if needed.

M. Smith: Motions for Morning and Afternoon registrations split into two groups, each group limited to 3 runs, 6 runs total per event. A and B run groups in the morning session, C and D run groups in the afternoon session.
 Motion passed by all.

E. Meglasson: Acknowledges sponsors, New Info: CES is on board again but Soundsfast is still out. Racehouse Design and Hutch's/Rack&Roll are premiering sponsors this season.

E. Meglasson: How can the club increase participation? Member-sponsored fun runs.

E. Meglasson: Motions that any member present at an event can sponsor a friend at the rate of $5 for 2 runs.
 Motion passed by all.

M. Smith: Suggests a PIR track day to be determined by interest, could coordinate with other clubs.

M. Smith: Motions to increase Membership and Event rates by $5 to $25 yearly membership, $25 event registration, and $30 event registration for non-voting members.
D. Boyd: That would make ACCO the most expensive autocross club in Oregon.
 Motion passed by all.
